1. ABOUT THIS POLICY
NeuroAU respects your privacy and processes personal data lawfully, fairly and transparently. This Privacy Policy explains how we collect and use personal data when you visit neuroau.com, contact us, enrol in or participate in our courses, events or other educational activities, subscribe to communications, join the NeuroAU Community, take part in a project, survey or research activity, or otherwise interact with NeuroAU.
Specific activities may be accompanied by a supplementary privacy notice, consent form or participation agreement where additional information is needed.

In this Policy, “NeuroAU”, “we”, “us” and “our” refer to this data controller.
3. PERSONAL DATA WE COLLECT
Depending on how you interact with NeuroAU, we may collect:
• identity and contact data, such as your name, email address, telephone number, country, city and preferred language;
• professional and educational data, such as your role, organisation, biography, interests, course history, qualifications, portfolio and professional links;
• course and service data, including enrolment, attendance, submissions, feedback, certificates, correspondence and support requests;
• participation and audio-visual data, such as your displayed name, image, voice, questions, comments and chat messages during online or recorded activities;
• project, research and survey data that you choose to provide;
• transaction and billing data, such as purchase, invoice, payment-status and refund information;
• marketing preferences;
• Community information described in section 7; and
• other information you choose to provide.
Payment-card details are normally processed by the relevant payment provider and are not stored directly by NeuroAU.
We do not ordinarily request special categories of personal data, such as health information or information about racial or ethnic origin, religious beliefs or sexual orientation. If a specific project or research activity requires such information, we will provide additional information and obtain explicit consent where required.
When you use our website or online services, NeuroAU and its service providers may collect technical data such as IP address, browser and device information, access times, pages viewed, referral information, security logs and cookie or similar identifiers.
We may also receive limited data from platforms and service providers used for enrolment, payments, communications, course delivery, online events, analytics or social-media interactions, and from partners where you have been appropriately informed or another lawful basis applies.
4. HOW AND WHY WE USE PERSONAL DATA
We use personal data only where we have a lawful basis:
• Contract or steps taken at your request: to respond to service enquiries; administer enrolments, payments, courses, events, certificates and requested services; deliver educational sessions and provide agreed course recordings; provide course access and service communications; and provide listed Community membership.
• Legal obligation: to maintain tax, accounting and other records required by law and respond to lawful requests from public authorities.
• Legitimate interests: to respond to non-contractual enquiries; administer and improve NeuroAU’s activities; operate and protect our website, systems and services; maintain necessary business records; identify and invite potential contributors to relevant initiatives; and establish, exercise or defend legal claims. We consider whether these interests are necessary and appropriately balanced against your rights.
• Consent: to send newsletters; use non-essential cookies and similar technologies where consent is required; publish optional Community profile information; and use a person’s image, voice, testimonial, contribution or project for public promotional purposes.
• Project-specific basis: research, surveys and social-impact initiatives may rely on consent, an agreed participation arrangement, legitimate interests or another basis identified in a supplementary notice. Explicit consent or another applicable condition will be used where special-category data is involved.
You may withdraw consent at any time without affecting earlier lawful processing. You may also object to processing based on legitimate interests in the circumstances provided by applicable law.
Information identified as required must be provided where necessary to complete an enrolment, deliver a requested service or provide listed Community membership. Other information is optional.
5. MARKETING AND SERVICE COMMUNICATIONS
We may send newsletters and information about NeuroAU courses, events, publications and initiatives where you have consented.
You may unsubscribe, withdraw consent or object to direct marketing at any time, free of charge, through the unsubscribe link or by contacting info@neuroau.com.
Messages necessary to administer a course, transaction, event, Community membership or other requested service are service communications and may still be sent where required.
6. COURSES, RECORDINGS AND SERVICE PROVIDERS
NeuroAU uses service providers for activities such as website hosting, cloud storage, forms, communications, enrolment, payments, accounting, course delivery and video conferencing. Depending on their role, they may process data on NeuroAU’s instructions or as independent controllers under their own privacy terms.
Live educational sessions may be recorded. Participants are informed in advance and through the recording notice provided by the meeting platform. Where reasonably practicable, a participant who does not wish to appear or be heard may keep the camera and microphone off and use a less identifiable way to submit questions.
Educational recordings may remain available for as long as they form part of NeuroAU’s educational offer or are otherwise reasonably needed for the purposes communicated to participants. NeuroAU may edit, restrict, anonymise or remove participant contributions where appropriate.
Use of a recording, image, voice, testimonial, contribution or student project for public promotional purposes requires separate consent where consent is the applicable legal basis. Participation in a recorded educational activity does not by itself authorise promotional use.
7. NEUROAU COMMUNITY AND PUBLIC DIRECTORY
Joining the NeuroAU Community is voluntary and is not a condition of enrolling in a course or retaining the status of a NeuroAU student or alumnus/alumna.
Listed membership includes a public, searchable profile. The minimum profile may contain the member’s name, country, professional field and role, short biography and selected professional interests. Publishing this minimum information is necessary to provide the public-directory service requested by the member. A person who does not wish to have this minimum profile published may remain a student or alumnus/alumna but cannot participate as a listed directory member.
Members may separately choose to publish optional information, such as a photograph, city, languages, professional website, portfolio or social-media link. Providing a social-media link authorises NeuroAU to display that link in the profile; it does not by itself authorise NeuroAU to tag the account or use the member, their contribution or their work in public promotion. Where required, those uses will be subject to a separate choice or consent.
NeuroAU may also hold non-public information needed to administer membership, verify eligibility, communicate with members and identify people who may be relevant to particular initiatives. Expressing interest or describing skills does not create an employment relationship, guarantee a role or require participation. The terms of any formal initiative will be communicated separately.
Public profiles may be found through online searches and information published online may be copied or shared by third parties outside NeuroAU’s control. NeuroAU will remove or update a profile following a valid request within the period required by applicable law, but copies made by others or held temporarily in search-engine caches may remain outside our control.
Members may request access, correction, updating or removal of their profile by contacting info@neuroau.com. Removal ends listed directory membership but does not affect student or alumni status.
8. COOKIES AND WEBSITE TECHNOLOGIES
Our website uses cookies and similar technologies necessary for its operation, security and functionality. With your consent, it may also use analytics, embedded-media or marketing technologies. Where consent is required, these technologies are used only after you make your choice.
NeuroAU currently uses Usercentrics for Wix to provide the cookie banner and manage cookie choices. You can accept, reject or change your preferences through the banner or the privacy settings trigger available on the website. The banner provides information about the available categories and choices. You may also manage cookies through your browser settings, although disabling necessary technologies may affect website functionality.
9. SHARING DATA AND INTERNATIONAL TRANSFERS
NeuroAU does not sell or rent personal data.
We may share data, where necessary and lawful, with authorised NeuroAU team members and contractors; service providers; instructors, facilitators, collaborators and project partners; professional advisers, accountants, auditors or insurers; public authorities or courts; and a successor organisation in connection with a lawful business reorganisation or transfer.
Access is limited according to the relevant role and purpose. Providers processing data on NeuroAU’s behalf are subject to appropriate contractual, confidentiality and security requirements.
Some providers may process data outside the European Economic Area. Where required, NeuroAU relies on a lawful transfer mechanism, such as an adequacy decision, the European Commission’s Standard Contractual Clauses, the EU–US Data Privacy Framework for eligible certified recipients, or another mechanism permitted by applicable law. Additional safeguards may be used where appropriate.

10. DATA RETENTION AND SECURITY
We retain personal data only for as long as reasonably necessary for the purposes described in this Policy. In determining the appropriate period, we consider the nature of the data, the purpose and duration of the relationship, the continued availability of an educational service or Community profile, legal and accounting requirements, possible disputes or claims, security needs and whether the data can be deleted or anonymised.
In particular:
• invoices, transaction records and other mandatory business records are retained for the period required by applicable law;
• educational records may be retained while needed to deliver the service, maintain necessary enrolment or certificate records, respond to requests or protect legal rights;
• recordings may be retained while they remain part of NeuroAU’s educational offer or are otherwise needed for the communicated purpose;
• marketing data is retained until consent is withdrawn or you unsubscribe, although limited suppression information may be kept to respect your choice;
• public Community information is retained while the profile remains active or until valid removal; and
• technical and security information is retained according to operational, security, legal and provider requirements.
Data may be kept longer where required by law or reasonably necessary for legal claims. Where appropriate, it may be anonymised so that it no longer identifies an individual.
We use technical and organisational measures appropriate to the nature and risks of the processing. These may include access restrictions, account protection, secure service providers, confidentiality measures and backups. No transmission or storage system is completely secure and NeuroAU cannot guarantee absolute security.
11. YOUR DATA-PROTECTION RIGHTS
Subject to applicable law, you may have the right to request access to, correction or deletion of your data; restriction of processing; data portability; or information about how your data is used. You may object to processing based on legitimate interests and to direct marketing, and may withdraw consent at any time where processing relies on consent.
To exercise a right, contact info@neuroau.com. We may request information reasonably necessary to verify your identity and will respond within the deadlines required by applicable law.
You may lodge a complaint with a competent supervisory authority. As NeuroAU is established in Italy, this includes the Garante per la protezione dei dati personali. Where applicable, you may also contact the authority in the EU or EEA country of your habitual residence, place of work or the alleged infringement.
12. CHILDREN
NeuroAU’s services and Community are generally intended for adults and NeuroAU does not actively seek to collect data from children.
If a future activity expressly admits a person under 18, NeuroAU will provide suitable information and take any steps required by applicable law, which may include obtaining authorisation from a parent or guardian. People under 18 are not eligible for the public Community directory.

13. AUTOMATED DECISIONS, THIRD-PARTY SERVICES AND CHANGES
NeuroAU does not currently make decisions based solely on automated processing that produce legal or similarly significant effects. If this changes, we will provide the information and safeguards required by law.
Our website and communications may link to third-party websites, platforms or social networks. Their processing for their own purposes is governed by their privacy policies.
We may update this Policy to reflect changes in law, technology, providers or NeuroAU’s activities. The current version will be published with its latest update date. We may provide additional notice of material changes where appropriate and will seek renewed consent where legally required.
